Elections of Club Officers

Purpose and Process

Establish language in the VVR By-laws regarding the nomination, election and removal of the Club Principal Officers.

A.  President
B.  Vice President
C.  Treasurer
D.  Recording Secretary

It is proposed that the term of office for all Officers be set at one (1) year from the date of election.  The sequence would be as follows:

1.  Nominations would be accepted by the sitting Recording Secretary from the members (in good standing) present at the normal March Club meeting.

    A.  Exception:  Any member (in good standing) who is unable to attend the March meeting may contact any current Club Officer by telephone or by U.S. Mail, signifying his or her wishes.  The Officer would then act in proxy, delivering the nomination to the Recording Secretary.

    B.  Nominations would not be accepted after the sitting President has designated the nomination period to be closed, i.e., the close of business at the March Club meeting.

    C.  Nominees must accept or reject the nomination by voice communication to the Recording Secretary.  This may be done in absentia (see sub part A).

2.  The election of Officers will be held during the normal April meeting and will be supervised by the sitting President.

    A.  Separate votes are required for each of the Principal Offices.  In the event that there is only one (1) nominee for an office, the nominee will be declared the winner by acclamation.

    B.  In the event of a tie, the winner will be determined by a coin toss conducted by the sitting Vice President.

    C.  All voting is done by the show of hands (proxy holders included).  A simple majority determines the winner.  The sitting President will count the votes and give the results to the Recording Secretary, who will announce the results.

    D.  The newly elected slate of Club Officers will assume their duties beginning with the May normal Club meeting.

3.  Principal Officers may be re-elected, but no member may hold two (2) Offices concurrently.

4.  If an Officer voluntarily vacates his or her office (quits the Club, resigns, dies, etc.), a special election must be held within thirty (30) days.

5.  Any Club Officer may be removed from office if a majority of the members (in good standing) vote to do so.  Thirty (30) days prior to the removal vote by the membership, a written notice must be delivered to the Office holder via registered mail, notifying the Office holder that a Removal From Office vote will take place at the next scheduled Club meeting.  If the Members present at the meeting (no absentia votes) approve the Removal, a special election must be scheduled at the same meeting.
